Scope of the Policy<\/b><\/h3>\n<p data-path-to-node=\"6\">This policy applies to all personal information collected and processed by Espace M, including that of our <b data-path-to-node=\"6\" data-index-in-node=\"107\">clients<\/b>, our clients&#8217; own customers (<b data-path-to-node=\"6\" data-index-in-node=\"144\">third-party data<\/b>), as well as our <b data-path-to-node=\"6\" data-index-in-node=\"178\">employees and candidates<\/b>.<\/p>\n<h3 data-path-to-node=\"7\"><b data-path-to-node=\"7\" data-index-in-node=\"0\">2. Our Technology Ecosystem (Enterprise Security)<\/b><\/h3>\n<p data-path-to-node=\"8\">To ensure compliance with <b data-path-to-node=\"8\" data-index-in-node=\"26\">Law 25<\/b>, Espace M prioritizes &#8220;Enterprise-grade&#8221; tools where data is contractually protected against being used to train public AI models:<\/p>\n<ul data-path-to-node=\"9\">\n<li>\n<p data-path-to-node=\"9,0,0\"><b data-path-to-node=\"9,0,0\" data-index-in-node=\"0\">Google Workspace (Enterprise):<\/b> Including Gmail, Drive, Meet, and Gemini.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"9,1,0\"><b data-path-to-node=\"9,1,0\" data-index-in-node=\"0\">Advertising Platforms:<\/b> Meta, TikTok, Google Marketing Platform (GMP), Amazon Advertising. We ensure that data sharing (e.g., audience lists, pixels) respects the consents obtained by our clients.<\/p>\n<\/li>\n<\/ul>\n<h3 data-path-to-node=\"10\"><b data-path-to-node=\"10\" data-index-in-node=\"0\">3. Personal Information of Employees and Candidates<\/b><\/h3>\n<p data-path-to-node=\"11\">We collect the data necessary for human resources management:<\/p>\n<ul data-path-to-node=\"12\">\n<li>\n<p data-path-to-node=\"12,0,0\"><b data-path-to-node=\"12,0,0\" data-index-in-node=\"0\">Recruitment:<\/b> Resumes (CVs), cover letters, and test results.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"12,1,0\"><b data-path-to-node=\"12,1,0\" data-index-in-node=\"0\">Hiring:<\/b> Social Insurance Numbers (SIN), void cheques, benefits files, and performance evaluations.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"12,2,0\"><b data-path-to-node=\"12,2,0\" data-index-in-node=\"0\">Access:<\/b> This data is stored in secure environments (Google Workspace Enterprise) and is accessible only to authorized personnel (HR and Management).<\/p>\n<\/li>\n<\/ul>\n<h3 data-path-to-node=\"13\"><b data-path-to-node=\"13\" data-index-in-node=\"0\">4. Use of Data and Consent<\/b><\/h3>\n<p data-path-to-node=\"14\">We use data solely for:<\/p>\n<ul data-path-to-node=\"15\">\n<li>\n<p data-path-to-node=\"15,0,0\">Providing marketing services and fulfilling client contracts.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"15,1,0\">Managing the employment relationship.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"15,2,0\">Optimizing advertising campaigns via partner platforms.<\/p>\n<\/li>\n<\/ul>\n<h3 data-path-to-node=\"16\"><b data-path-to-node=\"16\" data-index-in-node=\"0\">5. Transfers Outside of Quebec and Subcontracting<\/b><\/h3>\n<p data-path-to-node=\"17\">In the course of our business activities, personal information may be transferred to platforms whose servers are located outside of Quebec (e.g., the United States).<\/p>\n<ul data-path-to-node=\"18\">\n<li>\n<p data-path-to-node=\"18,0,0\"><b data-path-to-node=\"18,0,0\" data-index-in-node=\"0\">Assessment:<\/b> Before using any new tool (e.g., an AI or SaaS software), the <b data-path-to-node=\"18,0,0\" data-index-in-node=\"74\">Privacy Officer<\/b> conducts a <b data-path-to-node=\"18,0,0\" data-index-in-node=\"101\">Privacy Impact Assessment (PIA)<\/b> to verify that the provider offers adequate protection.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"18,1,0\"><b data-path-to-node=\"18,1,0\" data-index-in-node=\"0\">Contracts:<\/b> We require Data Processing Agreements (DPA) with all our subcontractors.<\/p>\n<\/li>\n<\/ul>\n<h3 data-path-to-node=\"19\"><b data-path-to-node=\"19\" data-index-in-node=\"0\">6. Data Lifecycle: Retention and Destruction<\/b><\/h3>\n<ul data-path-to-node=\"20\">\n<li>\n<p data-path-to-node=\"20,0,0\"><b data-path-to-node=\"20,0,0\" data-index-in-node=\"0\">Retention:<\/b> Data is kept for the period required by legal obligations (e.g., 7 years for tax\/payroll records) or for the duration of the contract.<\/p>\n<\/li>\n<li>\n<p data-path-to-node=\"20,1,0\"><b data-path-to-node=\"20,1,0\" data-index-in-node=\"0\">Destruction:<\/b> Once the retention period has expired, information is securely destroyed or anonymized.<\/p>\n<\/li>\n<\/ul>\n<h3 data-path-to-node=\"21\"><b data-path-to-node=\"21\" data-index-in-node=\"0\">7. Privacy Incident Management<\/b><\/h3>\n<p data-path-to-node=\"22\">Espace M maintains an <b data-path-to-node=\"22\" data-index-in-node=\"22\">official incident register<\/b>.<\/p>\n<p data-path-to-node=\"22\">Any employee who identifies a potential leak or unauthorized use (e.g., uploading sensitive data to an unapproved AI or sending an invoice to the wrong client) is obligated to inform the Privacy Officer immediately.<\/p>\n<p data-path-to-node=\"22\">We commit to informing the relevant authorities and the affected individuals in the event of a risk of serious injury.<\/p>\n<h3 data-path-to-node=\"23\"><b data-path-to-node=\"23\" data-index-in-node=\"0\">8. Your Rights<\/b><\/h3>\n<p data-path-to-node=\"24\">In accordance with <b data-path-to-node=\"24\" data-index-in-node=\"19\">Law 25<\/b>, you have the right to access, rectify, withdraw consent for, and request the <b data-path-to-node=\"24\" data-index-in-node=\"104\">portability<\/b> of your data.
